Call for Applications for Appointments at German-West African Centre for Global Health and Pandemic Prevention (G-WAC), KNUST

COLLEGE OF HEALTH SCIENCES

GERMAN-WEST AFRICAN CENTRE FOR GLOBAL HEALTH AND PANDEMIC PREVENTION (G-WAC)

APPLICATIONS are invited for suitably qualified persons for appointment for the under listed positions at the German-West African Centre for Global Health and Pandemic Prevention (G-WAC), College of Health Sciences, KNUST, with effect from February 14, 2022:

  1. Project Manager;
  2. Project Accountant; and,
  3. Administrative Assistant

G-WAC is a partnership between the College of Health Sciences of the Kwame Nkrumah University of Science and Technology (KNUST); the Berlin School of Public Health, including Technische Universität Berlin (TUB), and Charité Universitätsmedizin – Berlin; and the Medical Faculty and University Hospital Bonn (UKB) and is being funded by a grant from the German Academic Exchange Service - DAAD.

  1. PROJECT MANAGER

The Project Manager will steer the activities of G-WAC to ensure that the desired results are achieved by providing administrative and technical support to a portfolio of in-country and multi-country projects. She/he will work closely with the partner institutions, administrative and finance departments at KNUST and ensure compliance with the funder’s policies. The Project Manager shall put in place a structure that optimizes the efficiency of the communication and administrative process for G-WAC.

QUALIFICATION AND EXPERIENCE

  • Minimum of Bachelor’s degree with qualification in project management
  • Must be dynamic with demonstrable capacity for teamwork and team leadership
  • Must be a critical thinker with excellent analytical skills
  • Ability to work under pressure as part of a global team with little or no supervision
  • Ability to prioritize workload, assume responsibility for work, and follow through to completion
  • Knowledge in administrative and accounting skills
  • High computer literacy including knowledge in Microsoft Office suites, management software, among others.

DUTIES AND RESPONSIBILITIES

  • Organize, support, provide follow-up and report pertinent issues to Director and Management Team
  • Prepare project documents and research reports for the Director
  • Plan with the Director and Management Team on the sourcing and use of resources to achieve the goals and objectives of the projects within allotted timelines and budgets.
  • Coordinate the planning, preparation and submission of grant applications.
  • Monitor the preparation and progress of each milestone and deliverables of the projects. Ensure that progresses are on time with the deadlines assigned to enable the projects to run smoothly.
  • Oversee regulatory compliance issues regarding research projects and record Institutional Review Board approvals.
  • Manage administrative aspects of the projects in line with the funder’s requirements.
  • Perform day-to-day management of project team and address any team issues promptly in consultation with the Director.
  • Conduct regular meetings with the Management Team and also with partner institutions to discuss project status and issues in a transparent manner.
  • Facilitate the communication between the G-WAC Management Team and the Funders.
  • Manage internal and external communication with partner institutions.
  • Represent the Director in meetings if necessary.
  • Prepare annual technical reports to funders.
  1. PROJECT ACCOUNTANT

The Project Accountant shall provide financial support to G-WAC’s activities by working closely with the KNUST College of Health Sciences finance and administrative departments and ensuring compliance with KNUST and the funder’s policies.

QUALIFICATIONS AND EXPERIENCE

  • Minimum of a Bachelor's degree in Accounting, Finance, Accounting & Finance, or related field
  • Membership of Professional Accountancy body (ICAG, ACCA, CIMA)
  • Minimum of 3 years’ experience in financial management and/or support

DUTIES AND RESPONSIBILITIES

  • Assist in operations support of project start up and close out as needed.
  • Prepare invoices, assist in project procurement related expense tracking and payment requests.
  • Ensure all budgets cover of the personnel and operating costs, reflect the narrative and are reviewed for accuracy and compliance with funder regulations.
  • Assist with cash flow in daily project activities.
  • Carefully track cash received and report project expenses on a monthly basis.
  • Prepare monthly financial reports including project burn rate reports and identify trends per activity, flag potential issues, and recommend actions to the Project Manager and Director.
  • Serve as liaison to partner institutes by providing technical assistance in sub-award budgets and periodical financial reporting.
  • Support the preparation and conduct of quarterly project reviews.
  • Assist in reconciling sub-grantee/sub-contract expenses.
  • Prepare pipelines and forecasts to ensure accurate financial analysis.
  • Maintain strong financial controls to guarantee compliance with funder regulations.
  • Review all grant agreements, contracts, and modifications for the programs, review procurement requests, sub-agreements, and fixed obligation grants, and ensure that key processes are followed so that grant risk assessment receives consistent attention and direct support.
  • Prepare annual financial report to the funders.
  1. ADMINISTRATIVE ASSISTANT

The Administrative Assistant shall be responsible for assisting the Project Manager & Management Team to run the G-WAC Secretariat smoothly and efficiently, organising and coordinating all work stages as well as maintain a helpful attitude toward the Project Manager, Management Team and G-WAC students.

QUALIFICATIONS AND EXPERIENCE

  • Minimum of a Bachelor's degree in Business Administration, Office Management or related field
  • Certificate/diploma in office management with evidence of experience, exposure and professional training
  • Significant professional experience in a comparable position
  • Good working knowledge of ICT technologies (related software, phone, fax, email, internet) and computer applications (e.g. MS Office)
  • Knowledge in either French or German language would be a strong advantage

DUTIES AND RESPONSIBILITIES

  • Collects and maintains detailed and well organized hard and electronic records of G-WAC documents, communications and operations/activities in line with KCCR ’s filing rules and international standards
  • Prepare draft correspondence/reports for Project Manager and Management Team’s dispatch and takes minutes during meetings
  • Compiles and maintains a detailed database of all G-WAC students and various categories of affiliates
  • Perform any other functions as may be assigned by the Project Manager

DURATION OF CONTRACT

The contract will be for 12-months (renewable) for all the positions, three (3) months of which shall be the probationary period. Successful candidates are expected to assumed duty on Monday, February 14, 2022
